OptiAI is an AI consulting firm based in Vienna. We help mid-sized companies across the DACH region integrate artificial intelligence and automation into their existing systems and processes — not as an experiment, but as part of regular operations. We work where AI delivers concrete value: call handling, document processing, data transfer between systems and reducing ongoing operational costs.
OptiAI exists because many companies are interested in AI but stumble on two points: they don't know which use case pays off for them, and they don't want to take a risk without seeing a tangible result. That's why we work differently: we start with a concrete pilot, deliver a measurable result and only then expand. Our compensation is success-based — no savings, no costs. This makes it possible to introduce AI without committing to a large upfront project before knowing whether it pays off.
Our services include AI phone assistants, process automation, AI integration into existing IT systems and cost optimization. These areas can be implemented individually or combined — those who need multiple services benefit from synergy effects in effort and cost. What we don't do: standard consulting without implementation. We deliver running solutions that your team operates independently after implementation, including training and documentation.

Our Approach
OptiAI works pilot-first: we start with a concrete use case that delivers a visible result quickly, and only then expand. This avoids a large upfront project whose benefits only become apparent later. The first result is measurable — in time, cost or cases handled. Starting with a pilot lets you decide whether an expansion makes sense before committing to the full scope.
Success-based compensation is the second difference. Where we reduce costs or automate processes, a share of the demonstrably achieved savings is agreed. If no savings are possible, no costs arise for you. This applies in particular to cost optimization. For build-out projects such as AI integration or the AI phone assistant, compensation consists of a one-time setup fee and an ongoing operating flat rate.
What we don't do: standard consulting without implementation, concepts without a working solution, or recommendations your team has to implement themselves. We deliver systems that run after implementation — including training and documentation. When an expansion is due, we accompany it. When your team works independently, we step back.
